MessageWatcher software provides an online accessible, highly scalable, email and IM archiving solution. By capturing all SMTP traffic, not just Exchange and Notes, we allow companies to create indexed searchable archives that follow predefined retention and security policies. Messages and attachments are stored and indexed allowing for fast recovery of specific emails through the MessageWatcher search tools.

End User Retrieval Capability

MessageWatcher can be enabled to provide your employees with the ability to search their personal email archive to save your IT staff time searching for employees "lost" emails.

Archive & Retention Policies

Archiving allows your organization to meet regulatory requirements, allow users to find "lost emails", provide a centralized searchable database with enormous potential, and to take a load of email servers. MessageWatcher gives you a high level of flexibility when defining your archive and retention policies. Your retention policies can be applied to the archive to ensure that emails are stored for the time period you define. The retention policy also allows you to make sure that the emails are deleted at the appropriate time to save on disk space and to minimize eDiscovery requests should your company become involved in litigation. Archiving policies can also include retention period and storage media, such as WORM media for SEC compliance purposes. Emails can be selected for retention polices based on any combination of email attributes, including:
  • Message age
  • Attachment size
  • Sender Message size
  • Attachment type
  • Recipient
  • Most recent access date
  • Key words
  • Subject
  • Mailbox quota
  • Number of of recipients
  • Individual groups
  • Legal department initiatives

Archive Reporting

MessageWatcher provides summary reports on archive data. Custom reports are available and are included with most orders. Single Instance Storage MessageWatcher applies single instance storage to the archive to minimized unnecessary storage costs.

Versioning

When end-users reply or forward a message the modified message is treated as a new unique message.

Compression

In addition to single instance storage, MessageWatcher compresses messages and attachments.

Storage Vendor Neutral

MessageWatcher software can use any type of storage media from any particular vendor for online, nearline and off-line storage.

Storage Format Optimization

MessageWatcher supports numerous storage formats designed to optimize performance with different storage formats, including DVDs, optical jukeboxes, and WORM LTO tape drives, allowing our customers to use a range of storage options.

Compliance

Chances are your company is subject to regulatory requirements or industry standards that require your company to archive and possibly monitor electronic communications. $1.67 million in fines were levied against Salomon Smith Barney, Morgan Stanley, Goldman Sachs, Deutsche Bank, and U.S. Bancorp Piper for not producing emails when requested by regulators. In addition to NASD and SEC audits, e-mail and instant messages are now becoming commonplace in discovery requests in corporate lawsuits. E-mail and instant message archival and retrieval should be a process that withstands these audits and discovery requests similar to corporate paper records and other corporate electronic documents. Not complying properly may expose the corporation and its officers to penalties, fines as well as legal consequences such as destruction of evidence charges and adverse judgments.
